Focused Improvement Idea — Promapp Training Module Enhancement

The current onboarding/training structure in Promapp does not automatically retrigger training assignments when a linked process document is updated or republished. As a result, trainees may continue operating under outdated process knowledge without awareness of critical changes.

Proposed Improvement

Implement a dynamic retraining workflow within the Promapp Training Module that automatically detects process revisions linked to onboarding or active training pathways.

Suggested Functionality

• When a process document is updated and republished:

  • affected trainees automatically receive a notification,

  • the updated process is reassigned for acknowledgement or retraining,

  • and completion status resets only for the modified content.

Additional Enhancements

1. Version-Based Training Trigger

   • Automatically trigger retraining only when meaningful process changes occur.

2. Impact Classification

   • Allow process owners to classify changes as:

     • Minor update → acknowledgement only

     • Major update → mandatory retraining

3. Audit Dashboard

   • Track:

     • who completed retraining,

     • overdue acknowledgements,

     • and version history tied to training records.

4. Smart Notifications

   • Notify only impacted roles/workstreams instead of all users.
